Your data is yours. Every plan — including Free — can export it, no support ticket required. Here's every way to get information out, and what each export contains.
Settings → Data Export
The main export page (System Administrators) offers three CSV downloads, each covering all time for your organization:

| Contacts | Every active contact: name, address, primary email, additional emails, primary phone, additional phones, plus Do Not Email and Do Not Mail columns so mail-merge tools can honor donor communication preferences. |
| Donations | Every donation: date, donor, amount, gift total, net and fee amounts, payment type, check number, status, campaign, source, and notes. A gift split across campaigns exports one row per campaign portion — the Amount column is that portion (so campaign totals add up correctly) and the Gift Total column shows the whole gift on every row. |
| General Ledger | The complete book: one row per journal entry line — date, entry #, reference, payee, descriptions, account, account #, fund, debit, credit, entry type, source, and reconciled/void flags. This is the file an accountant or a new system wants. |
Files are dated (ledger-2026-08-01.csv), UTF-8, and open cleanly in Excel
or Google Sheets.
Other exports around the app
- Member roster — the Export CSV button on the Members list: name, tier, status, join/renewal/last-renewed dates.
- Reports — every report has a Print button; use your browser's print dialog to save any of them as a PDF. See A Guide to Your Financial Reports.
- Documents — anything in The Shelf downloads individually, and generated PDFs (invoices, checks, receipts, giving statements) can be saved as you produce them.
Practical recipes
- Annual accountant handoff: the General Ledger CSV plus printed Balance Sheet and Income Statement covers virtually every request.
- Switching mail platforms: the Contacts CSV imports into any email or letter tool; the extra email/phone columns keep secondary addresses.
- Backup habit: download the three Data Export files quarterly and drop them somewhere safe. Five minutes, and your organization's records exist outside any one system.
Good to know
- Exports include only your organization's data and leave out internal system IDs — the files are meant to be portable, not re-importable.
- The ledger export includes voided entries, clearly marked in the Void column, so the audit trail travels with the data.
- Cancelling your subscription doesn't lock your data — export first, cancel second, in whichever order you like.
