GoodBooks has a Free plan that never expires and paid plans (Foundation, Core, Pro) that add features and raise limits. This article covers how to see what you're on, upgrade, change your card, and what happens if a payment fails.
Where: your name in the top-right corner, then Billing. Only System Administrators see it.
What plan am I on?
Settings → Organization → Account Info shows your current plan. The features and limits that come with it are also visible wherever they apply: a section you don't see on the Reports page, or a usage badge like "3 of 5 grants," belongs to your plan. Current plan details and prices are on dogoodbooks.org/pricing.
Upgrading
Open Billing. On the Free plan you'll see the plan cards with a Monthly / Annual switch (annual billing is two months free). Choose Subscribe on the plan you want; you're taken to a secure checkout to enter a card, and the upgrade takes effect the moment payment succeeds. Nothing about your data changes; features simply switch on.
Managing an existing subscription
Once you're on a paid plan, Billing opens your secure billing portal, where you can:
- Update the card on file
- Switch plans up or down (prorated)
- Switch between monthly and annual billing
- Download invoices for your own books
- Cancel the subscription
Downgrading below what you're using (say, more funds than the smaller plan allows) doesn't delete anything; you keep what exists but can't add more until you're under the limit.
If a payment fails
The card is retried automatically for a few days. If it keeps failing, signing in shows a "Your account is past due" page with an Update Billing button and nothing else; enter a working card and full access returns immediately. Your data is never deleted for a failed payment, and your public giving page keeps taking donations throughout.
Good to know
- Membership dues and donations your organization receives have nothing to do with this page; that money flows through your connected Stripe account and your books. This page is only the GoodBooks subscription.
- Accountant and bookkeeping firms use a free firm workspace; see Working With an Accountant or Bookkeeper.
- Need to change your subdomain? That's a support request, not a billing setting.
