The things that are yours rather than the organization's: your name, your password, your phone for text codes, and which notification emails you get. Plus what to do when you can't sign in.
Where: your name in the top-right corner. The menu has Profile, Change Password, Billing (administrators only), Help Center, and Log Out.
Profile
- Photo, First / Last Name: what colleagues see in the audit trail and on entries you post. Role / Title is set by an administrator.
- Email Address is your login and can't be changed here. An administrator changes it under Settings → Users.
- Mobile Phone Number (US and Canada, ten digits) plus the consent box lets GoodBooks send login verification codes by text instead of email; see Two-Factor Login Codes.
- Notification Preferences: tick Email me when a donation receipt is sent to get an internal copy of every donor receipt as it goes out. Only System Administrators receive these, even if the box is ticked on another account.
Changing your password
Change Password asks for your current password and the new one twice. Your organization's password policy (length, complexity, reuse) is enforced here; the page tells you what's required. Passwords are never emailed or visible to administrators.
I can't sign in
- Forgot your password? Use the Forgot password link on the login page and enter your email. If an account exists, a reset link arrives within a minute and works for 24 hours. Didn't get it? Check spam, and confirm with your administrator that the email on your account is the one you're typing.
- The reset link says it expired. Request a new one; each link is single-use and 24 hours.
- "Your account is inactive." An administrator deactivated your user under Settings → Users. Ask them to reactivate it.
- Login code isn't arriving. For authenticator-app codes, check your phone's clock is set automatically. For text codes, confirm the phone number on your Profile. An administrator can turn off the MFA requirement on your account so you can get back in and set it up again.
- "Your account is past due." Not you; the organization's subscription payment failed. An administrator fixes it under Billing.
- Locked out entirely, and the only administrator is gone? Contact support from the email on file. This is exactly why GoodBooks asks for a second administrator.
Good to know
- Lock Account in the top-right menu locks your session without logging out, handy when you step away from a shared desk.
- Sessions time out after a period of inactivity; unsaved entry forms are lost, so save as you go.
- One person, one login. Sharing a login defeats the audit trail and the second-administrator rule; users are free on every plan up to the plan's user limit.
